A punch list should get shorter every day.

Punch work becomes expensive when items are vague, responsibility is unclear or completion is accepted without verification. The list should drive action, not become another project archive.

Write items someone can act on

Identify the location, condition and expected correction clearly enough that the responsible trade does not need a phone call to understand the task.

Assign one owner

Multiple interested parties are fine; multiple owners are not. Give each item a responsible company or person and a clear status.

Verify before closing

A message saying an item is done is not the same as verification. Use the level of review appropriate to the project and contract before removing the item from the active list.

Watch recurring defects

Repeated punch items can point to a broader workmanship, material or coordination issue. Fixing the pattern may be more valuable than closing individual items one at a time.
