An RFI should close a question, not create three more.

RFIs work best when the question is specific, the affected location and documents are clear, and the response is carried into the field. Volume alone is not a sign of good documentation.

Ask one answerable question

Identify the drawing, specification, location or conflict and state what clarification is needed. Mixing unrelated issues makes routing and response harder.

Show the field condition

Use marked-up drawings, photos or sketches when they make the question easier to understand. The reviewer should not have to reconstruct the entire project to answer.

Track responsibility and due date

Record who owns the response and when it is needed relative to the work. A response after installation may be technically complete and operationally useless.

Carry the answer downstream

Notify the people performing or pricing the affected work. If the response changes cost or schedule, start the appropriate change process rather than burying it in the RFI log.
