The submittal log matters because the field is waiting on the answer.

Submittals are not paperwork for its own sake. They connect contract requirements to procurement and installation. A late or incomplete review can become a material problem long before anyone calls it a schedule delay.

01

Build the register from the requirements

Identify required product data, shop drawings, samples and other submittals early. Assign the responsible trade and required date based on procurement and installation—not an arbitrary administrative deadline.

02

Check completeness before routing

Confirm the package addresses the required scope and includes the information the reviewer needs. Routing incomplete material creates another review cycle without moving the project forward.

03

Track review status and turnaround

Record when the item was submitted, who has it and the response status. If the required-on-site date is approaching, the project team needs to see that exposure.

04

Distribute the approved information

An approved submittal only helps if the purchasing and field teams are working from the reviewed version. Keep superseded material from becoming the installation reference.

How to use this guide

Use this as a project-operations framework, then apply your contract requirements, company controls and professional judgment. VegaUltimate does not manufacture case studies or performance statistics to support these guides.

The software should support the process—not invent it.

VegaUltimate is built to keep these project records and handoffs closer together. If you want to see how that works against one of your own projects, we can walk through the actual workflow instead of a generic demo script.
