The wrong drawing can cost more than the document system.

Document control is less about storing files and more about knowing which information governs the work. Drawings, specifications, RFIs, submittals and revisions need enough structure that the team can identify the current record.

Create one dependable project location

Files can originate in many places, but the project team needs a known location for the controlled record. Personal inboxes and desktop folders should not become the final source of truth.

Preserve revision context

Do not overwrite history without a trace. Record revision, date and status so the team can understand what changed and which version is current.

Connect clarifications to the affected work

RFIs, ASIs, bulletins and approved submittals can change how a drawing is interpreted. Keep those records discoverable from the project instead of isolated in separate email threads.

Control distribution

The current document only helps if the people performing the work receive it. When a revision matters in the field, make the distribution and superseded status clear.
